How to Export Contact Groups from the Agent Portal
BoldDesk provides an option to export the Contact Groups from the contact groups listing page. You have the option to select the system and custom fields for exporting. When you have given export, it will be queued and processed via automation, following which you will receive an email with a file download link from your support email address.
- Only the requested user and users in the CC can download the file.
- The generated link will be valid for two days from the generation date.
Exporting the contact groups from agent portal
Follow the given steps to export the contact groups from the agent portal:

Navigate to the contact group listing page in the agent portal and click Export from the top panel.

Click Next in the pop-up after selecting the export fields.

Click Export in the pop-up after selecting the export file format, CCs, Sorting, and Time Zone.
Include the required agents in the CCs field to receive an email with the download link for the export.
- After the export is successfully queued, you will receive the following toast message.

The request will be queued and processed. When the export process is completed, you will receive an email with a download link to the export file from your support email address.

Click the Download Link to download the desired file directly.

How to export contacts of a specific contact group.
If you want to export details of a specific contact group, we recommend using the Contact List Page Export feature. Here’s how:

Navigate to the Contact List page.

Use the Advanced Filter option to display contacts from a specific group. In the filter settings, choose the field Contact Group Name, set the condition to Is, and then select the desired contact group from the list.

Export the filtered contacts displayed on the page.
This method ensures you only export the relevant contact details instead of the entire group listing.
Alternative Way to Export Contacts from a Contact Group Using “View in Contacts” Filter
BoldDesk provides an alternative and efficient way to export contacts from a specific Contact Group by using the View in Contacts filter option. This method allows you to export only the contacts associated with a selected contact group, without exporting all contacts in your account.
This approach is especially useful when you need targeted exports for audits, campaigns, or reporting purposes.
When to Use This Method
Use this export method if you want to:
- Export contacts from one specific Contact Group only
- Avoid exporting unrelated contacts

Step‑by‑Step: Export Contacts from a Contact Group
1: Open the Contact Management Module
- Log in to your BoldDesk Agent Portal.
- Navigate to Contact Management from the left navigation menu.
- Select Contact Groups.
2: Select the Desired Contact Group
- From the Contact Groups list, click the contact group whose contacts you want to export.
- This opens the Contact Group Details page.
3: View Contacts Associated with the Group
- In the contact group details page, switch to the Contacts tab.
- All contacts associated with the selected contact group are displayed here.
4: Use “View in Contacts” Filter
- Click View in Contacts.
- You are redirected to the Contacts page.
- The contacts list is automatically filtered to show only contacts from the selected contact group.
This filter ensures that any export action applies only to contacts within this group.
5: Export the Filtered Contacts
- On the Contacts page, click the Export button.
- In the export dialog:
- Select the contact fields you want to include in the export.
- Confirm the export action.
6: Download the Export File

BoldDesk processes the export in the background.

You will receive an email notification containing a download link to the export file.

Download the file from the email to access your exported contacts.
Troubleshooting Contact Groups export
- Export is not received immediately
- Contact Groups export is queued and processed via automation. Delivery time depends on queue volume and how many requests are created at the same time.
- User cannot download from the emailed link
- Confirm the downloader is either:
- the requesting user, or
- a user included in CCs for that export request.
- If the downloader is not one of those users, BoldDesk returns an Access Denied page.
- Confirm the downloader is either:
- Export email not found
- The export email is sent from the configured support email address. Check the correct mailbox for the requester and any CC’d recipients.
