Understanding Data Processing and Storage
It is important to understand where and how data is processed and stored for businesses.
Data Processing Location
Although you can choose to store your data in various locations, including the US, EU (Netherlands), India, or Australia, it’s important to note that data processing is primarily conducted in the US. This ensures that while your data resides in the chosen location, the processing activities are centralized and handled securely in the US.
We use a separate database architecture for each customer. The database for your site is not shared with any other customer’s database. It is stored in Google Cloud, and we regularly back up the database to ensure data safety.
Location-Based Storage
Your chosen data center location—whether it’s in the US, EU (Netherlands), India, or Australia—is where your entire instance’s data will be stored. This means that all of your customer data, irrespective of their geographic location, will be stored in the data center location of your choice. For instance, if you opt for the Netherlands as your data center, all customer data associated with your instance will be stored there. This approach ensures that your data is stored on an instance-wide basis rather than on a customer-by-customer basis.
How to Choose Your Data Centre When Signing Up for BoldDesk
To select the most appropriate data center for your needs, follow these steps:
- Sign up: Initiate the sign-up process for BoldDesk by navigating to the Sign Up page.
- Select data center: During the sign-up, you will be prompted to choose a data center from the available options. The available data center locations typically include the US, EU (Netherlands), India, and Australia.
- Complete sign-up: Once you have selected your preferred data center, complete the sign-up process as directed.
- Data storage location: Your data will be stored in the selected data center, ensuring that your information is securely stored in your preferred region.
Changing Data Hosting Location in BoldDesk
BoldDesk allows active users to change their data hosting region, but this option is not available for trial accounts.
For Active Accounts
If you are an active BoldDesk customer on a paid plan, non-profit or start-up offer and wish to change your data hosting location (e.g., from Europe to US or vice versa), please contact the BoldDesk Support. We will assist you with the migration process based on your subscription and data compliance requirements.
- Data migration may involve downtime; as a result, we’ll ask you for your preferred time.
- At present, BoldDesk does not offer a feature to view total storage usage or to identify which tickets or attachments occupy the most space.
For Trial Accounts
Trial accounts do not support region migration. If you wish to host your trial data in a different region or change before purchase:
- We can delete your current trial account upon your confirmation.
- Create a new trial account for you using the same email address and domain and select your preferred data hosting region.
Deleting the current trial account will permanently remove all existing data.

Q1. Can I change the data center after completing the sign-up process?
A: Yes, once your BoldDesk instance is created, the selected data center cannot be changed from the UI by the contact. For paid accounts, you must contact BoldDesk Support to request a migration.
Q2. Is the data center selection available for all trial users?
A: Yes, trial users can select a data center during sign-up. However, if you wish to change it later, we can delete the trial account and create a new one for you with the same email and domain with your preferred region.
Q3. Can I view or confirm my current data center location from the admin panel?
A: No, the data center location is not displayed in the BoldDesk UI. You can confirm it by contacting BoldDesk Support.
Q4. Does BoldDesk store customer data separately for each brand or department?
A: No, data is stored instance-wide in the selected data center. All customer data, regardless of brand or department, resides in the same regional database.
