How to Set Up the Google Calendar for Agents

After the Google Calendar app has been installed by an administrator, agents must authorize and enable the integration from their Personal Settings before Activity Tasks can synchronize with Google Calendar.
This article explains how to:

Google Calendar integrations are available exclusively with the Enterprise plan in BoldDesk. If your team requires calendar synchronization capabilities, consider upgrading to the Enterprise plan to unlock this functionality and enhance your workflow efficiency.

Prerequisites

Before setting up Google Calendar integration, ensure that:

  • The Google Calendar app has been installed by a BoldDesk administrator.
  • You have permission to access the Google Calendar app.
  • You have a valid Google account.

Authorizing the Google Calendar App

To authorize the Google Calendar app, follow the given steps:

  1. Click the Profile icon in the top-right corner as indicated below.

  2. Select the View Profile & Settings option to access your Personal Settings page.

  3. Navigate to the Apps tab in Personal Settings.

  4. Click Authorize. You will be redirected to the Google sign-in page.

If the Authorize button in your personal settings is disabled, please reach out to your administrator.

  1. Enter your Google email address and password, then click Next.

  2. Select Google Calendar access permission options and then click Continue to complete authorization.

After completing the authorization, the Enable toggle will activate automatically (if no other calendar app is enabled).

Task synchronization will start only after this toggle is enabled.

Click the Re-Authorize button in the Apps section to restart the authentication process.

Revoking the Google Calendar Access

Click the Revoke button in the Apps section to cancel the authentication.

How to Switch to Another Calendar App

  1. Click the Enable button next to your preferred calendar app. A confirmation dialog will appear.

  2. Click Yes to proceed.

After clicking Yes in the confirmation dialog, the selected app will be enabled and the previously active one will be automatically disabled.

Frequently Asked Questions

  1. Why is the Authorize button for the calendar app disabled in Personal Settings?
    • App not installed: The calendar app may not be installed from the BoldDesk marketplace.
    • Insufficient permissions: You may not have the necessary permissions to access the calendar app.
  2. What happens if the calendar app Enable button is turned off?
    If the calendar app’s Enable button is off, tasks will not synchronize with your Google Calendar.
  3. What happens if I update an Activity after switching the calendar app?
    If you update the Subject, Description, Due date, Status, or Assignee of an Activity after switching the calendar app, the event will be removed from the old calendar and added to the newly enabled calendar with the updated details.
