How to Search for Contacts in BoldDesk

Updated:

BoldDesk offers two convenient ways to locate contacts, depending on how specific your criteria are. For fast lookups, use the built-in Search options—Global Search or the search bar inside the Contacts module. If you need to refine results using multiple conditions or field values, use Advanced Filters, which you can also save as reusable views.

Searching for contacts using the search feature

Use the search feature when you need a quick lookup and already have basic contact details. BoldDesk lets you search from Global Search or directly within the Contacts module to find matches by name and email address (and Contact ID via Global Search). The sections below walk you through both search options and what each one supports.

The Global Search

  1. Go to Global Search at the top of the agent’s portal.

  2. Select Users > Contacts from the menu.

  3. Search for the contact by Name, or Email address, or Contact ID.

  4. Matching contacts will be listed.

Search Option in the Contacts Module

The search option in the Contacts module allows agents to search for contacts using their name and email address only. Searching by contact ID is not supported by this option.
Follow these steps:

  1. Go to Contacts Module > Contacts.

  2. On the list page that opens, type the name or email address in the search bar and press Enter to see the search result.

  3. Contacts whose name or email matches the search text will be listed.

The search feature does not support searching for contacts by phone number. To see contacts based on phone number, use the advanced filter.

Filter Option in the Contacts module

You can filter contacts based on system and custom field values by utilizing the advanced filters located on the contacts listing page. These filters can also be saved as views, allowing you to easily access them in the future.

To filter contacts, follow these steps:

  1. Open the Contacts module and select the Contacts option from the menu.

  2. On the contacts listing page, click the Filter icon to open the advanced filter panel.

  3. Select the filter criteria using both the system-defined and custom fields.

  4. Click Apply to view the filtered list of contacts.

  5. To save this view, use the Save As button and provide the View Name.

  6. Proceed to choose the Access Scope, Sorting Order and click Save.

The Text-Type custom fields are currently not supported in the filter conditions because of performance limitations.
