How to apply for a BAA and enable HIPAA in your BoldDesk account

The Health Insurance Portability and Accountability Act (HIPAA) establishes strict standards for safeguarding sensitive patient data, known as Protected Health Information (PHI). BoldDesk is designed to support HIPAA compliance, enabling users to manage PHI securely.

To activate HIPAA compliance and complete a Business Associate Agreement (BAA) with BoldDesk, follow these guidelines:

Requirements

Before proceeding, ensure the following prerequisites are met:

  • You are subscribed to Enterprise plan.
  • Your subscription is billed on a monthly or annual basis.
  • You have the legal authority to sign agreements on behalf of your organization.

How to request HIPAA enablement and a BAA

To request HIPAA compliance and initiate a Business Associate Agreement (BAA), follow these steps:

  1. Visit the BoldDesk Contact page. Alternatively, you can submit a support ticket via the Create Ticket link.
  2. Complete the contact form with the following details:
  • Name: Enter your full name.
  • Email: Provide a valid email address for correspondence.
  • Phone Number (optional): Include a preferred contact number.
  • Subject: Indicate that your request is to enable HIPAA compliance.
  • Message: Clearly state that you are requesting HIPAA compliance and wish to sign a Business Associate Agreement (BAA).
  1. Click the Submit button to send your request.

How to process and sign BAA

After submitting your request:

  • A support ticket will be generated, and the BoldDesk support team will forward your request to the legal department.
  • The legal team will draft the Business Associate Agreement (BAA), which will be signed by an authorized representative of BoldDesk.
  • Once signed, the BAA will be sent to you for your review and signature.
  • Please review the document carefully and complete the signing process to finalize the agreement.

HIPAA feature activation

Once the BAA has been signed by both the authorized representative of BoldDesk and the customer:

  • Respond to the original support ticket to confirm that the BAA signing process is complete.
  • The BoldDesk support team will verify the completed signatures and proceed to enable HIPAA-compliant features on your account.
  • A confirmation message will be sent via the same support ticket once the HIPAA features have been successfully activated.

How to verify HIPAA activation

After confirmation from the support ticket:

  1. Navigate to General Settings>HIPAA in your BoldDesk Admin page.
  2. You will see that the HIPAA compliance option is Enabled in your account.
