Setting up Calendly App with BoldDesk

Calendly helps customers book meetings with you based on your real-time availability. With the Calendly integration, BoldDesk makes this process seamless inside its live chat module using workflows.
Once configured, customers can schedule meetings during a chat conversation, and every meeting action is fully tracked within a BoldDesk ticket. This reduces manual effort for agents and keeps the entire meeting lifecycle organized in one place.

Key features include:

  • Meeting scheduling in live chat: When a workflow is set up in the chat module, customers can select an available time slot and schedule a Calendly meeting directly from the chat window.
  • Automatic ticket creation: After a meeting is scheduled, BoldDesk automatically creates a ticket with complete meeting details, including date, time, participants, requester, assignee, and the meeting link.
  • Reschedule tracking: If a meeting is rescheduled in Calendly, the updated details are added as a note in the ticket to keep the timeline accurate and clear.
  • Automatic ticket closure on cancellation: When a meeting is cancelled, the ticket is closed automatically, and a cancellation note is recorded.
  • Unified meeting history: All meeting updates, including scheduling, rescheduling, and cancellation, are captured within the ticket for easy reference.

How to Install and Configure Calendly

Follow these steps to install the Calendly app:

  1. Navigate to the Admin menu > Marketplace.

  2. Search and select the Calendly app.

Configure BoldDesk API Key

FAQs

1. Can customers schedule meetings outside of live chat?
Currently, the integration is designed for live chat workflows. Customers can book meetings during an active chat session. For other channels, you can share Calendly links manually in ticket replies.

2. What happens if the Calendly integration is disabled?
If the integration is disabled or unconfigured, all incoming Calendly webhooks are ignored, and no meeting-related tickets will be created or updated in BoldDesk.

3. Can I create or edit meeting details manually in BoldDesk?
No. All meeting actions—creation, rescheduling, and cancellation—originate from Calendly. BoldDesk updates automatically and does not allow manual meeting event creation.

4. Will a new ticket be created if a meeting is rescheduled?
No. Rescheduling does not create a new ticket. Instead, the existing ticket is updated with a note containing the new date and time.
