Manage BoldSign information in BoldDesk

BoldDesk integrates with BoldSign to simplify document signing workflows directly within your helpdesk environment. This integration eliminates the need for manual handling of contracts or agreements by allowing you to send documents for e-signature, track their status, and revoke them—all from a single interface.

Performing BoldSign Actions in BoldDesk

The following steps guide you through sending documents for e-signature, viewing their details, and revoking them when necessary.

1. Send for e-Signature

Step 1: Initiate e-Signature

From the ticket details page, click Send for e-Signature under the BoldSign section.

Step 2: Create Document
In the Create Document window:

  • Enter a Title for the document.
  • Attach a file (upload or select from ticket).
  • Add recipient details and optional CC.
  • Click Next to proceed.

Step 3: Prepare Document for Signing
Upload the document and configure recipients:

  • Add recipient names and emails.
  • Set signing order if required.
  • Click Save and proceed.

Step 4: Configure Fields

  • Drag and drop signature fields and other required elements onto the document.
  • Click Send to initiate the signing process.

2. View Document Details

Once the document is sent, you can track its status in the BoldSign section of the ticket:

  • Document ID.
  • Status (In Progress, Completed, Declined).
  • Sent date and last activity.
  • Click View Details for more information.

3. Revoke Document

To cancel a document:

  • Go to the BoldSign section in the ticket.
  • Click Revoke.
  • Confirm the action. The document will be canceled, and signers will be notified.

FAQs

1. Do I need a separate BoldSign subscription to use this integration?
Yes. BoldDesk integrates with BoldSign, but you must have an active BoldSign account and configure the integration in BoldDesk before sending documents for e-signature.

2. What happens if a recipient does not sign the document?
If a recipient does not sign within the specified time frame, the document remains in In Progress status. You can send reminders from BoldSign or revoke the document if necessary.

3. Can I change recipient details after sending the document?
No. Once a document is sent for e-signature, recipient details cannot be modified in BoldDesk. If changes are needed, revoke the document and create a new request with updated information. However, can use BoldSign portal to edit the recipient details.
