How to Import or Replace Article Templates and Documents

The import article feature enables users to convert their own documents into knowledge base articles, which is beneficial for generating tailored content. This article aims to offer instructions on how to import articles from different documents.

Steps to Import Articles

  1. Navigate to the Create or Edit Article page from the KB module.

  2. Find the Import option in the top-right corner as shown below.

The import process can be performed by using the following two options:

  • Template

  • Document

Importing a Template

Knowledge Base (KB) article templates are pre-defined sections of content organized in a specific order. KB article templates store a common article structure (common headings and sections) that can be reused when creating new KB articles. To import an article template, follow the steps below.

  1. Click the import Template option.

  2. A dialog box will be displayed from where you can choose the available templates. The listed templates are based on the editor type chosen.

  3. Click on the preferred template then choose import.

    • When using the import option in an article containing content in the description, the template will be inserted only at the cursor’s current position without replacing the whole content.
    • Use the replace option to substitute previously added content in the description. The description therefore will have the template content.

Templates store structure (headings and sections), not full articles.

Importing a Document

The import document feature allows users to convert their own documents into articles for the knowledge base.

  1. Click the import Document option to upload a document.

  2. From the pop-up window click on Browse to select the document. The supported file format will depend on the chosen editor type.

    Markdown .md, .txt
    WYSIWYG .doc, .docx, .dot, .dotm, .dotx, .docm, .md, .txt
  3. After uploading a file successfully, the Import button will become active, allowing you to import the content of the file into the Editor. You can also use the replace option to substitute previously added content. Both the import and replace options for documents function similarly to those used for importing templates.

  4. After clicking Import, the document’s content was rendered in the Editor.

  5. You can choose to either submit their work for review or publish it based on your specific needs.

  1. Where do I find the Import option in BoldDesk KB?
    On the Create Article and Edit Article pages in the KB module, in the top-right area as Import.

  2. What is the difference between importing a Template and importing a Document?
    Template import inserts a reusable article structure (headings/sections). Document import converts an uploaded file into editor content.

  3. Does Import overwrite the entire article description?
    Only if you choose Replace. Otherwise, template content may be inserted at the cursor position, and document content may be imported without replacing existing content depending on the chosen option.

  4. Why don’t I see some templates in the Template list?
    The template list depends on the editor type selected (Markdown vs WYSIWYG). Only templates for that editor type are listed.

  5. Which file formats are supported for document import?
    It depends on the editor:

    • Markdown: .md, .txt
    • WYSIWYG: .doc, .docx, .dot, .dotm, .dotx, .docm, .md, .txt
  6. What happens after I import a document?
    The uploaded document content is rendered in the KB editor. You can then edit and either submit for review or publish.

  7. Can I use Import to convert my existing documentation into KB articles?
    Yes. Use Import → Document to upload supported document formats and convert them into editable KB article content.

  8. What is the difference between Import and Replace?
    Import adds the chosen template or document content into the article’s Description editor without removing existing content (inserted at cursor). Replace overwrites the Description editor content with the imported template or document content, deleting previous content.
