How to Send a Reminder Mail for an Approval Request

Approval reminders in BoldDesk help agents ensure timely action on pending approval requests directly from a ticket. Using the Approvals tab, agents can manually send reminder emails to approvers without leaving the ticket view.
This article explains how approval reminders work in BoldDesk, when to use them, and how to send reminders to all approvers or an individual approver.

Where Approval Reminders Live in BoldDesk

Approval reminders are available inside a ticket where an approval request has already been configured.

Tickets → Open a Ticket → Approvals tab

Approval reminder actions are not available from Automation Rules or Admin Settings. They are initiated manually by agents from the ticket interface.

Use Cases for Approval Reminder Emails

Approval reminders are best used when:

  • A ticket is blocked due to a pending internal or external approval
  • SLA resolution time is at risk because approval is delayed
  • Multiple approvers are assigned and one or more have not responded
  • Agents need to follow up without adding public or private notes

Sending a Reminder to All Approvers

Use this option when multiple approvers have not yet responded and a general follow‑up is required.

Steps to Send a Reminder to All Approvers

  1. Open the relevant ticket from the Tickets module.

  2. Select the Approvals tab.

  3. Locate the approval request.

  4. Click the Reminder icon next to the approval request.

  5. In the confirmation dialog, click Yes.

A reminder email is sent to all approvers with pending approval status.

Sending a Reminder to a Specific Approver

Use this option when only one approver is delaying progress.

Steps to Send a Reminder to a Specific Approver

  1. Open the ticket from the Tickets module.

  2. Go to the Approvals tab.

  3. Find the approver with a pending request.

  4. Click the Reminder icon next to that approver.

  5. Click Yes to confirm.

Important Approval Reminder Rules

  • Reminder emails are sent only to approvers with pending status
  • The 30‑minute cooldown applies per approval request
  • Approval reminders:
    • Cannot be automated
    • Cannot be customized using workflows
    • Are not available from Admin Settings

Only the selected approver will receive the reminder email.

  1. Can approval reminders be automated using Automation Rules?
    No. Approval reminder emails can only be sent manually from the Approvals tab within a ticket.

  2. Can I change the content of the approval reminder email?
    No. BoldDesk does not provide an option to customize approval reminder email templates.

  3. Can I see when the last reminder was sent?
    Yes. Hovering over the Reminder icon in the Approvals tab shows reminder details.

  4. Will an approver receive multiple reminders?
    Yes, but only after the 30‑minute cooldown period and only if the approval is still pending.

  5. Can approval reminders be sent from Admin Settings?
    No. Approval reminders are sent only from individual tickets and are not available in Admin Settings.
