How to Filter Activities and Save Filters as Views in BoldDesk

Advanced Filters in BoldDesk help you quickly locate activities based on criteria such as assignee, priority, status, date, contact, or related ticket. You can apply filters for temporary use or save frequently used filter conditions as views to access the same activity lists without configuring the conditions repeatedly.

This article explains how to apply Advanced Filters to activities, save filters as reusable views, and use the supported fields and operators to define filter conditions.

To apply a filter, follow the given steps:

  1. Open an activity list page.

  2. Click the Filters option on the right side to open the filter panel.

  3. Choose some criteria as per your need and click Apply. After applying a filter, the activities matching the selected criteria will be listed.

For example, in the following screenshot, the selected filter criteria are

Status – In, Open

Save Filtered Activities as a View

Save frequently used activity filter conditions as a view so that you can access the filtered activity list without configuring the same conditions repeatedly.

To save the applied filters as a view:

  1. Open the Activities module.

  2. Select the Filter icon to open the Advanced Filters panel.

  3. Configure the required filter conditions.

  4. Select Save As at the bottom of the filter panel.

  5. Enter a descriptive name for the view.

  6. Configure the available view settings and access scope.

  7. Select Save.

The saved view appears in the Views panel on the left side of the Activities page. Select the view whenever you need to display activities matching the saved filter conditions.

Select Apply to filter the activity list without saving the conditions. Select Save As when you want to retain the filter conditions as a reusable activity view.

  1. Can I edit or delete a saved view?
    Yes. You can rename, modify filter conditions, or delete a saved view from the Views panel.

  2. How do I set a saved view as default?
    In the Views panel, select the view and choose Set as Default. This view will load automatically when you open the Activity module.

  3. Is there a limit to the number of saved views in BoldDesk?
    A: No, currently BoldDesk does not impose a limit on the number of saved views (custom ticket views) that a user can create. You are free to create as many views as needed to organize and manage your tickets effectively. These views can be:

    • Private – visible only to the creator,
    • Group-shared – accessible to specific teams,
    • Public – visible to all agents.
      This flexibility allows users to tailor their workspace without worrying about hitting a cap.
  4. How do saved views differ from filters?
    Filters are temporary and apply only until you refresh or navigate away. Views are saved filter sets that can be reused anytime.

  5. Are saved views available in mobile apps?
    Yes, BoldDesk mobile apps support saved views for quick access on the go.
