How to Access and Manage Approval Requests in BoldDesk

Learn how to manage approval requests effectively using the Approval module in BoldDesk.

What are approval requests in BoldDesk?

Approval requests in BoldDesk refer to the key components of workflow management in BoldDesk. The approval requests ensure that actions or changes undergo a review and receive authorization from designated individuals before implementation.

Accessing the approvals list

To get started with managing approval requests, navigate to the Approvals module in BoldDesk. This module provides a comprehensive overview of all approval requests.

Approval views

View Name Description
Assigned to Me View all requests requiring your approval.
Requested by Me Track all requests you submitted.
All Approvals See a comprehensive list of all ongoing approvals.

Approver status filters

You can filter approval requests based on your status as an approver in the approval request. The approver status filters can be found in the ‘Assigned to Me’ view section, just above the data grid. Select certain statuses or combine them only to see relevant entries.

Status Description
Requested View all requests that are requesting your approval.
Approved View all of the requests you’ve approved.
Rejected View all of the requests you’ve rejected.
Skipped View all approved requests that have been skipped from your approval.
Canceled View all approval instances for which you were canceled as an approver.

Approval status filters

You can filter approval requests according to their status by using the filters ‘Requested by Me’ and ‘All Approvals’ view sections, located just above the data grid. Select or combine statuses to show the relevant entries.

Status Description
Pending View all requests that are still awaiting approval from the approvers.
Approved View all approved requests.
Rejected View all rejected requests.
Canceled View all canceled requests.

Additional filters

You can also use additional custom filters in the dedicated ‘Filters’ section to narrow down your results.

Filter Application
Created Date Filter all approval requests by creation date. Date ranges can be applied using presets or by selecting a custom range.
Last Modified On Filter all approval requests by last modified date. Date ranges can be applied using presets or by selecting a custom range.
Requested By Filter all approval requests by their requested user. You can pick one or more users.
Ticket ID Filter all approval requests by the ticket on which they were created. You can use the ticket ID (as a comma-separated string in the case of multiple tickets) to retrieve the approval requests created within a specific ticket.

Customizing the columns

To personalize your data grid, select or deselect specific data columns from the column chooser.

Permissions

An agent must have the Approval module permission to view the global approval list in BoldDesk.

An agent must have the View All Approvals permission to view all the approvals in BoldDesk.
