How to Bulk Update Knowledge Base Articles in BoldDesk
In this article, you will learn how to update multiple knowledge base articles at once using the Bulk Update option in the Agent Portal.
The Bulk Update option allows agents to update up to 100 articles in a single action. Bulk actions can only be performed by agents in the Agent Portal.
Fields supported in bulk update
You can use bulk update to modify the following fields:
- Author
- Status
- Category-Section
- Assignee
- Comment
- Article Expiry
- Visibility
- Status Indicator
- Status Indication Expires On
- Tags
- Allow Comments
- Exclude docs in search engine
- Exclude docs in internal search
- Mark all translations as outdated
- When the status is set to Published, the Mark all translations as outdated field appears at the end.
- When the status is set to Send to Review, the Assignee and Comment fields appear after the Status field.
- When the status is set to Approved, only the Comment field is displayed.
- When the Status Indicator is set to New or Updated, the Status Indication Expires On field is displayed.
- For a secondary article, only the following fields can be updated: Status, Assignee, Comment, Author, Status Indicator, Status Indication Expires On, and Tags.
How to bulk update articles
Follow these steps to bulk update articles:

Go to Knowledge Base > Articles.

Select the articles that you want to update.

Click Update at the top of the page.

In the bulk update panel, select the checkboxes for the fields that you want to change.

Choose the required values for the selected fields.

Click Next. A confirmation window appears and displays the selected fields and the values that will be applied.

If you need to modify any value, click Back.

Review the selected changes, then click Update to apply them.
What happens after you click Update
After the bulk update starts:
- A success toast message is displayed.
- The update runs in the background.
- The process can take up to 10 minutes to complete.
- If you open the articles immediately after clicking Update, the changes may not appear right away because the bulk update is processed in the background. To avoid conflicts, do not modify the selected article fields while the bulk update is still in progress.
- Once the bulk update is complete, you will receive an email that summarizes the changes made.
Permissions
The agent must have permission to edit the required article fields. In addition, the Bulk edit all KB fields option must be enabled.
