How to Bulk Update Multiple Articles at Once

In this article, you’ll learn how to update multiple articles at a time using the Bulk Update option available in the agent portal. This feature allows agents to update up to 100 articles simultaneously, and only agents are permitted to perform bulk actions within the portal.

The following fields can be updated using a bulk action:

  • Author
  • Status
  • Category-Section
  • Assignee
  • Comment
  • Article Expiry
  • Visibility
  • Status Indicator
  • Status Indication Expires On
  • Tags
  • Allow Comments
  • Exclude docs in search engine
  • Exclude docs in internal search
  • Mark all translations as outdated

Note:

  • When the status is Published, the Mark all translations as outdated field appears at the end.
  • If the status is Send to Review, the Assignee and Comment fields appear after the status field.
  • When the status is Approved, only the Comment field is shown.
  • If the status indicator is set to New or Updated, the Status Indicator Expires On field will be displayed.
  • The secondary article can only update the status, assignee, comments, author, status indicator, status indication expires on, and tags fields.

To bulk update articles, follow the given steps:

  1. Go to Knowledge Base and navigate to the Articles module
  2. Select the articles you wish to update and click the Update button at the top

  1. Enable the checkboxes next to the fields you want to update
  2. Select the desired values to apply to all selected articles, then click Next to proceed

A pop-up window will appear, showing all fields and their corresponding update values.

  1. If you need to change any property value, click the Back button

  1. After reviewing the field values, click Update to apply the changes

Once initiated, the success toast message will be displayed, and the bulk action will run in the background. The action may take up to 10 minutes to complete.

If you open the articles immediately after clicking Update, the changes might not be visible right away, as the update process runs in the background.

Once the bulk update process is complete, you’ll receive an email summarizing the changes made. To avoid conflicts, please do not modify any article fields while the update is in progress.

The agent must have the necessary permissions to bulk edit all the fields mentioned above, and the Bulk edit all KB fields option must be enabled.
