How to Send Email Notifications in the Contact's Preferred Language

Sending email notifications in a contact’s preferred language ensures better communication and enhances user experience.

BoldDesk enables system administrators to translate email templates to align with the preferred languages of contacts or customers. To enable the translation of email templates, multilingual support must be activated. Learn How To Enable and Disable Multilanguage Support.

The following two configurations are required to ensure that notifications are delivered in the customer’s preferred language:

Step 1: Translating email templates to other languages

To translate email templates into different languages in BoldDesk, follow these steps:

  1. Navigate to the Admin module > Email Notifications.
  2. Select Contact as the recipient type to find a list of notification events.
  3. Locate the event and click gear icon under the configure column
  4. Go to the Templates section and choose a template whose content requires translation.
  5. On the Language section, click Translate next to the language which to translate the template.
  6. Provide the title and description with the corresponding translations.
  7. Click Save to apply the updates.

Step 2: Configuring contact’s language

When contact’s language is specified, emails will be sent in that language. This happens only if a translated version of the template exists in that language.

To configure the desired language for email template delivery in BoldDesk, proceed with the following steps:

  1. On the Contacts list, identify the contact to configure the language preference.
  2. On the profile page, click Edit to access the contact’s details on edit mode.
  3. Locate the Language field and select the preferred language from the dropdown list.
  4. Click Update to save changes.

  • Only languages enabled in the customer portal will be available when configuring a contact’s language.
  • If a translation of the template is not available in the customer’s language, the email will be sent in the system’s default language.
