How to Add a Company Logo in Email Notifications in BoldDesk

Updated:

Adding your company logo to email notifications helps maintain brand consistency and builds trust with customers. In BoldDesk, you can include your logo directly in email notification templates using the built‑in rich text editor. This article explains how to add a company logo to email notifications step by step.

Prerequisites

Before you begin, ensure that:

  • You have Admin access in BoldDesk.
  • Your company logo is saved as an image file (PNG, JPG, or SVG recommended).
  • The logo size is optimized for email (recommended width: 100–200 px).

Steps to Add a Company Logo to Email Notifications

1. Go to Email Notifications

  1. Sign in to BoldDesk.
  2. In the left navigation panel, go to Admin.
  3. Select Email Notifications under the Help Desk section.
  4. Choose the email notification template you want to edit (for example, Satisfaction Survey).

The selected template opens in Edit mode, displaying fields for Template Name, Subject, and Description.

2. Open the Email Template Editor

  1. Scroll to the Description section.

  2. Locate the rich text editor toolbar at the top of the message body.

    Edit Survey Template.png

The editor supports formatting like bold, italics, underline, alignment, lists, links, and images.

3. Insert the Company Logo

  1. Place the cursor where you want the logo to appear (typically at the top of the email).
  2. Click the Image icon in the editor toolbar.
  3. Upload your company logo from your computer.
  4. Adjust the alignment and size if needed using the editor controls.

    Insert Logo.gif

The logo is now embedded directly into the email content.

4. (Optional) Combine the Logo with Brand Details

Add branding info below the logo, like company name, support signature, or placeholders such as {{helpdesk.brand.name}}.
This ensures the email stays dynamic and aligned with your BoldDesk brand settings.

5. Save the Template

  1. Review the email content to confirm the logo is displayed correctly.
  2. Click Save at the bottom of the page.

The updated email notification will now include your company logo when sent to customers.

Troubleshooting

The logo is not visible in received emails

Possible causes and solutions:

  • Ensure the image is uploaded, not just referenced.
  • Confirm the template was saved after adding the logo.
  • Remind recipients to enable images in their email client.

The logo appears too large or too small

Solution:

  • Resize the image directly within the editor.
  • Use an image with a width between 100–200 pixels for best results.
  • Avoid uploading high‑resolution images intended for print.

The logo alignment is inconsistent

Solution:

  • Select the image and use the alignment options (left or center).
  • Avoid copying and pasting images from external editors, which may introduce formatting issues.
  • Insert the logo using the Image icon in the toolbar instead.

The logo looks distorted in emails

Solution:

  • Keep original aspect ratio when resizing.
  • Use PNG or SVG to avoid quality loss.
  • Don’t change width and height independently.

Changes do not reflect in new emails

Checklist:

  • Confirm you edited the correct email template.
  • Click Save after making changes.
  • Send a test or trigger a new email notification to verify updates.

FAQs

1. Can I add a company logo to all email notifications?
Yes. You must add the logo individually to each email notification template. BoldDesk does not automatically apply a logo across all templates, so repeat the steps for every template you want branded.

2. What image formats are supported for logos?
BoldDesk supports PNG (best for transparency), JPG/JPEG, and SVG formats.

3. Will the logo appear in emails sent to customers and agents?
Yes. Once added and saved, the logo appears in all outgoing emails generated from that specific notification template, including emails sent to customers and internal recipients such as agents.

4. Can I resize or align the logo after inserting it?
Yes. After inserting the image: click the logo in the editor, adjust alignment, and resize using controls or handles.

5. Can I use placeholders instead of uploading a logo image?
No. Placeholders like {{helpdesk.brand.name}} support text-based dynamic content only. Logos must be added as image files through the editor’s Image option.

6. Will the logo display correctly across all email clients?
Most modern email clients support embedded images. However, appearance may vary slightly depending on the email client, screen size, and security settings.
