How to Manage HubSpot Information in BoldDesk Mobile App

You can access HubSpot within the BoldDesk mobile app via Ticket , contact, contact group or chat modules to view and manage related contacts, companies, and deals. This requires HubSpot to be configured from the web app, and details are displayed only if the requester exists in HubSpot.

This article covers HubSpot access from the BoldDesk mobile app.

Prerequisites

  • The HubSpot app must be installed in BoldDesk from the Web App.
  • You must have permission to access Ticket Apps in BoldDesk.
  • The ticket requester must have an existing HubSpot account/contact for HubSpot details to appear under Ticket Apps.

Where HubSpot Details Appear on Mobile

HubSpot details are shown under Ticket Apps only when the requester on the ticket matches an existing HubSpot contact/account. If the HubSpot account does not exist, the app will just be displayed under apps with no information. In the BoldDesk mobile app, the ticket number is shown beginning with # followed by the number itself (for example: #12345). This ticket number also appears in HubSpot when accessed via the linked ticket. The HubSpot app contains three tabs within the BoldDesk mobile app:

  2. Companies
  3. Deals

Step-by-Step Instructions

Open HubSpot From a Ticket

  1. Open the BoldDesk mobile app.
  2. Open the required ticket.
  3. Click on More options icon.
  4. Tap Apps.

View Contact Details

  1. Open the HubSpot app from the ticket.
  2. On the Contact tab, you can review the contact information.
  3. Tap the email address to open and navigate to the contact in your HubSpot account (if configured on your device).

View and Manage Companies

  1. Open the Companies tab.
  2. Review the list of companies (including About us and Creation date where available).
  3. To open all companies in HubSpot, tap View all (redirects to HubSpot).
  4. To add a new company, tap Create company and complete the form (see next section).

Create a New Company

  1. Open the Companies tab > tap Create company.
  2. Enter the company details:
    • Name (mandatory)
    • Domain Name (mandatory)
    • City
    • State/region
    • Postal code
    • Phone number
  3. Tap Create to finalize.

  4. Optional: Check Create another to create an additional company immediately after saving. The company will then be added in the list of companies.
  5. To cancel and return without saving, tap Discard.

View and Manage Deals

  1. Open the Deals tab.
  2. Review the list of existing deals.
  3. To add a new deal, tap Create deal and complete the form (see next section).

Create a New Deal

  1. Open the Deals tab > tap Create deal.
  2. Enter the deal details: (all these fields are mandatory)
    • Name
    • Amount
    • Currency (USD)
    • Closed Date
    • Pipeline
    • Deal Stage
  3. Tap Create to finalize.

  4. Optional: Enable Create another to create an additional deal immediately after saving.
  5. To cancel and return without saving, tap Discard.

HubSpot information retrieved from the contact, contact group and chat modules is accessible under the apps section for each module. It functions in the same manner as it does in the ticket module except for the accessibility steps.

Use Cases

  • Validate requester identity:
    Open the Contact tab to confirm the requester’s HubSpot profile from the ticket.
  • Associate the requester to an organization:
    Review Companies and add a missing company directly from mobile.
  • Track sales/support context:
    Review existing Deals related to the requester and create a new deal when needed.

Troubleshooting Common Errors

  • HubSpot app is not visible under Apps
    Confirm the HubSpot app is installed from the BoldDesk Web App and that your role has access to the app.

  • No HubSpot details shown for the requester
    HubSpot details appear only if the requester has an existing HubSpot account/contact.

  • Redirect link does not open HubSpot
    Verify you are signed in to HubSpot on your device and that your device can open HubSpot links (browser/app).
