Manage the Office 365 Calendar in BoldDesk
Once the Office 365 Calendar app is installed and authorized, you can create and manage events directly using BoldDesk.
Creating calendar events from BoldDesk
Follow the steps provided to create an event:

Select Activity from the navigation panel and click on Create Activity from the ticket’s activity tab as shown in the following images.

Set the activity Type to Task.

Add an Assignee and set a Due Date to synchronize the task with the calendar. Ensure that the assignee has authorized the calendar app in their personal settings.
After creating an activity in BoldDesk, the following page will appear.
The task will be scheduled as an event in the assignee’s calendar as illustrated below.
BoldDesk’s Office 365 Calendar integration only schedules events on the assignee’s calendar, without support for additional agents. However, using a dedicated user account as a shared calendar is a smart and effective approach, especially when you’re trying to coordinate events across multiple agents using Office 365 and BoldDesk integration.
Updating calendar events from BoldDesk
- Update the event by changing the due date or reassigning it to another user. Ensure the new assignee has authorized the Calendar app in their personal settings and activated the toggle to enable it.
- Modify the event’s subject and description as needed.
- To cancel the event, change the status to ‘Cancelled’.
Using a shared Calendar in BoldDesk with Outlook Integration
This is a smart way to centralize scheduling for a team or department. While BoldDesk doesn’t natively support shared calendars in the traditional Outlook sense, you can achieve this setup with a few workarounds:
- Once you set up a new user in your Microsoft 365 account this will act as the shared calendar.

Share the Calendar with Agents
- In Outlook, open the calendar of the dedicated account.
- Click Share Calendar and grant View or Edit permissions to relevant agents.
- Agents can now see and manage events from their own Outlook accounts.
- Assign Tasks to the Shared Account in BoldDesk. When creating tasks or tickets, assign them to the dedicated calendar account. These tasks will sync to the shared calendar, visible to all agents with access.
Deleting events from BoldDesk
- Delete the task in BoldDesk to remove the event from the Office 365 Calendar.

1. When will tasks not sync to Office 365 Calendar?
• Unassigned task: No assignee is selected when creating the task.
• Assignee authorization: The assignee has not authorized the Office 365 Calendar app in their personal settings.
• Missing due date: A due date is not set when creating the task in BoldDesk.
• Disabled Toggle: The ‘Enable’ toggle for the Calendar app is not activated in personal settings.
Ensure all the above conditions are met to successfully sync tasks with your Office 365 Calendar.
2. What determines the start time of the event?
The start time of the event is set to 15 minutes before the task’s due date.
3. When will reminders appear?
Reminders will appear 15 minutes before the event’s start time.
