How to Purchase AI Copilot Agent Seats in BoldDesk

This guide explains how to purchase or update AI Copilot Agent seats within an active BoldDesk subscription. You can manage AI Copilot seats from the Billing & Subscription page, review prorated charges, and confirm the update using the default payment method managed through Stripe.

Prerequisites

Before you begin, ensure that you have:

  • An active BoldDesk Enterprise or Momentum (Legacy) subscription.
  • Access to Admin Center > Billing & Subscription.
  • The Manage billing and subscription permission enabled for your role.
  • A valid default payment method configured in Stripe.

Purchase or Update AI Copilot Agent Seats

To purchase or update AI Copilot Agent seats:

  1. Sign in to your BoldDesk account.

  2. Go to Admin Center > Billing & Subscription.

  3. In the AI Copilot section, do one of the following:

    • If AI Copilot is not active, click Purchase AI Copilot.

    • If AI Copilot is already active, click Manage AI Copilot.

  4. In the Update AI Copilot dialog, enable AI Copilot if it is not already enabled.

  5. Enter or update the number of AI Copilot agents.

  6. Review the amount shown for the selected number of agents.

  7. Review the prorated Total due today amount.

  8. Click Continue.

  9. In the Payment Method step, review the payment summary.

    The page shows details such as:

    • AI Copilot amount – The total AI Copilot cost based on the selected number of agents and billing cycle.
    • Subtotal – The amount before tax.
    • Tax – The applicable tax amount, if any.
    • Total due today – The prorated amount charged immediately for the remaining period of the current billing cycle.
  10. If you need to update or change the default payment method before confirming the purchase, click Manage Payment Method. This opens the Stripe-hosted payment method management page.

  11. Click Update to confirm the AI Copilot purchase or seat update.

After the update is completed, the subscription is updated successfully, and the changes will be reflected in the application within 15 minutes.

If the payment method must be changed before updating AI Copilot seats, use Manage Payment Method. Payment methods are managed securely through Stripe, and BoldDesk does not store card details.

Billing Behavior

AI Copilot is billed separately from standard BoldDesk agent seats.

  • AI Copilot is billed per agent.
  • If AI Copilot is activated or increased during the current subscription cycle, the charge is prorated for the remaining duration of the cycle.
  • In future invoices, AI Copilot appears as a separate line item in your subscription billing.
  • If AI Copilot seats are reduced, the change may apply from the next billing date.

Plan and agent downgrades and billing cycle changes are reflected on the next billing date. Current subscription change requests may be cancelled when a new subscription update is submitted.

Assign AI Copilot Access to Agents

After purchasing AI Copilot seats, assign AI Copilot access to the required agents.

Purchasing AI Copilot seats does not automatically grant access to all agents. You must assign AI Copilot access to the required agents after purchase.

Payment Verification

If additional payment verification is required, Stripe handles the verification process using the default payment method configured for your subscription.

You may be asked to complete verification through your card issuer, such as entering a one-time code, password, or approving the payment through your bank.

Card verification, including 3D Secure authentication, is handled by Stripe. BoldDesk does not collect or store payment card details.
