How to Import Contacts and Contact Groups
Now, users can easily import files containing contacts and contact groups into BoldDesk. This functionality enables the efficient and quick creation of multiple contacts and contact groups in large quantities.
Import contacts
To import contacts into BoldDesk, follow the given steps:
Step 1: Go to the Admin menu and click Import Data under the General section.
Step 2: From the Modules drop-down menu, select Contacts.
Step 3: You can handle duplicate records in the following ways:
- Skip the duplicate records.
- Overwrite the duplicate records.
Step 4: When the ‘Send verification email’ checkbox is enabled, newly added users will receive an email to verify their accounts. Please note that this does not apply to the Contact Groups module.
Step 5: Choose the file you want to import and click the Next button.
Note: The maximum supported file size is 5MB, and the file should not contain more than 2000 records.
Additionally, the supported file formats are xls, xlsx, and csv. You can download a sample file to import.
For tags, contact groups, domain, and multi-selection custom fields, multiple values can be separated by using ‘||’ character.
Step 6: Map the columns from your source file to the BoldDesk fields.
Fields marked with an asterisk (*) are required and must be mapped with a column from your source file.
Step 7: After completing the mapping, click the Next button.
Step 8: You can view a summary of the columns from your source file that have been mapped to BoldDesk fields as shown in the following image.
Step 9: If the field mapping is configured according to your request, click the Import button. The imported file will be listed.
You can cancel the import by clicking the Cancel Import button.
The request will be placed in a queue, and you will receive an email regarding the status of the import once it is completed.
Step 10: After completing the file import, you can view the report by clicking the View Details button.
- Added - Indicates the newly added records.
- Updated - Indicates the records that have been modified.
- Skipped - Indicates the records that were not imported due to duplication.
- Failed - Indicates the records that were not imported due to invalid values.
Step 11: Additionally, you can access the failed records along with the reasons for their failure. You have the option to download, correct them, and upload them again.
Note: You can import custom fields along with contact and contact groups.
Import contact group
To import contact groups into BoldDesk, follow these steps:
Step 1: Go to the Admin menu and click Import Data under the General section.
Step 2: From the Modules drop-down menu, select Contact Groups.
Follow the above contact import steps from 3 to 11 and complete the import of the contact group.
